📋 Group Management
Organize your employees efficiently for monitoring and coaching
With group management, you can organize users logically and structure them for monitoring and coaching. Groups enable flexible assignment of employees to teams, departments, or other organizational units.
Important prerequisite:
• A user must be assigned to at least one group and one project to be visible for monitoring and coaching
🔐 Required Permissions
• Structure Administrator: Can create and manage groups
• User Administrator: Can add and remove users from groups
• Coach/Auditor: Must have the project and the group in their authorization scope to be able to see employees
→ Both roles (Structure and User Administrator) can be combined
Content of this article
1️⃣ Access to group management
You can reach the group management via the administration overview:
1Open the administration overview
2Click on the "Groups" tile
3You will be taken directly to the group overview
2️⃣ Create new group
To create a new group, proceed as follows:
1Click the "+ Add Group" button
2Enter a meaningful title for the group (mandatory field)
3Optional: Add a description (e.g., purpose of the group)
4Optional: Enter an external reference (e.g., for system integrations)
💡 Tip: Choose a clear and self-explanatory group name that makes assignment easier for all users (e.g., "Sales North", "Customer Support Team A").
3️⃣ Edit group
You can adjust the master data of a group at any time:
1Navigate to the group overview
2Click on "Edit" in the "Actions" column
3Change title, description, or external reference as needed
The changes are applied immediately and are visible to all authorized users.
4️⃣ Add and remove members
The member management allows you to assign users to groups flexibly:
Add members:
1Click on "Members" in the "Actions" column
2Select the desired users from the list
3Confirm the assignment
Remove members:
1Open the member management of the group
2Select the users to be removed
3Confirm the removal
⚠️ Important to know:
• Removed users can no longer be selected for monitoring and coaching for this group
• All user data and historical data remain fully intact
• The user can be added back to the group at any time
5️⃣ Deactivate group
If you temporarily no longer want to use a group, you can deactivate it:
1Click on "Deactivate" in the "Actions" column
2Confirm the deactivation
📌 Effects of deactivation:
• The group is no longer available for selection in new processes, monitorings, or coachings
• The group is no longer displayed in reports
• All existing data and assignments are preserved
• The group can be reactivated at any time
6️⃣ Delete group
Deleting a group is a final action and should be done with caution:
1Click on "Delete" in the "Actions" column
2Read the warning message carefully
3Confirm the deletion process
🚨 Warning – Final Action:
• All affiliations with the group are irrevocably removed
• The users themselves remain in the system
• This action cannot be undone
• Consider deactivation as an alternative first
